In my last post I likened outsourcing data entry services to going out and buying a loaf of bread. A simple task that can be well defined and can be purchased from qualified sources outside of your own organization.
The task of data entry in itself is relatively straight forward. Data which exists on a form needs to be keyed to a digital format. This is done by a data entry operator transcribing data from the form into a digital file.
Take a simple example. You receive 5,000- 10,000 customer contact forms every day. These contain names, mailing address, email address, telephone numbers and maybe some demographic data. The contact forms are all hand written.
The first challenge for the outsourcing vendor is to manage the daily volume fluctuations. Varying count of qualified and trained staff needs to be assigned on a daily basis to meet the daily fluctuations in data entry volume. Use of double key data entry and compare programs along with data validation checks should further allow the data entry vendor to guarantee close to 100% accuracy even with handwritten data. Use of multiple database look-ups (example, for mailing addresses) can further assure a clean data set. Having a robust work process which checks for data quality at multiple gates assures success is delivered when data entry services are outsourced. The data entry outsourcing company has keyed the data accurately and within the business cycle time constraints. Further the outsourcing of data entry task should also yield cost savings for the business.
