Despite strides in going paperless large amounts of information still comes in on paper. Information has to be transferred from paper to electronic so it can be analyzed, shared or acted upon
Information which is machine typed in well laid out structured forms ( same information in same location) lends itself to optical character recognition (OCR) where data capture software can be utilized to capture the information from the incoming paper form.
However, much of the incoming information may not be machine typed or on structured forms. Or, the variability is significant such as invoices coming from multiple vendors or the EOBs in insurance industry from different providers. Or, the volume is not sufficiently large to justify an investment in capture software.
Data Entry then becomes the choice selection.
Increasingly clients will use data entry in combination with scanning where incoming paper documents are scanned and data entry is done from scanned images. In addition to offering better document control scanning allows for greater efficiency when keying the data as well as allows for better downstream audit and quality control of data entry.
Since transcribing data or keypunching data is manual there is risk of error…instead of keying $10,011.00 what if the operator entered the invoice as $10,110.00, or $11,011.00?
