ARDEM Data Entry Services, Data Capture Services, Data Processing Services
ARDEM provides data entry services, data processing services, and data capture services. ARDEM data processing services and data entry services help increase the efficiency and reduce operating costs of any operation which requires processing of large volumes of data. Applications for data entry from paper documents occur in almost every industry including accounting, legal, retail, medical, insurance, manufacturing and engineering.
ARDEM data processing and data entry services can be used for data extraction, forms processing, clinical data capture and electronic data capture solutions. Applications for data entry services are in processing vendor invoices, accounts payable records, clinical data trial data, litigation documents, forms processing, claims processing, bill processing and data entry from surveys.
ARDEM data entry services are utilized primarily for:
Processing of data. This involves the capture of data from one media typically paper and creating an output in electronic format. Applications here could be the extraction of data from forms, data from clinical trials, data on claims, data from vendor invoices, warranty cards, customer surveys etc.
Information management. This involves the indexing or extraction of meaningful data from documents to facilitate the subsequent search and retrieval of these documents. Applications here could be the indexing of engineering or architectural drawings, contract documents, coding of litigation or legal documents, HR records, loan documents, county land records etc.
Data capture and Data Entry to Create Electronic Data Files
Businesses have to deal with large quantities of data from many different sources every day. Despite our attempts much of this data coming from the outside is still in paper format…vendor invoices, field reports, expense reports, customer warranty cards, insurance claims, account applications, customer surveys, test reports, medical patient reports, loan documents, financial statements, contracts etc.
To make it useful the typical back-office has data entry clerical staff which extracts the data from the source documents and converts into electronic data by keying the data onto their PC. ARDEM data processing services take raw data in hand written or machine typed format from any of a number of sources and extracts the specified data. The data output is an electronic file in text, data or other file formats. This data file is then transmitted back to be uploaded into the clients’ business system.
While automated methods of data extraction (OCR or Optical Character Recognition) exist the manual keying of data is the most time consuming and costly type of data extraction. While OCR technology is helpful with structured data (typically machine typed data or darkened circles on a form) the accuracy levels of OCR are still low, in the 70% range. Hence the favored data entry or data extraction process involves humans physically looking at the paper or increasingly digital images of the source document and capturing the data from these documents. This process is the most accurate and likely to be the most effective in wherever data is required for business critical data processing needs or for searching.
Some dos and don'ts include the following:
• Don't become a data extraction expert. Firms very often fall into the thinking that they can become data extraction experts, employing untrained (or barely trained) "temps" to do the work. Very often firms who undertake this challenge find the cost is higher, the accuracy lower and processing slower than if they chose a reputable vendor to do the same work.
• Choose the right vendor. All data extraction or data entry vendors are not created equal. The key component of data extraction or data entry is accuracy. No matter how quick or inexpensive a vendor may be, if their work is shoddy and inaccurate the end product (the database or the data file) will be unusable. If downstream users have no confidence in the data extracted, they will have no confidence in the accuracy of their output or when searching for information.
By deploying “dual-key data entry” where the same data is entered by two operators and subsequently compared and checked for accuracy ARDEM is able to achieve 99.95% or higher accuracy of data entered. This assures clients that data extracted by ARDEM is completely reliable.
Benefits of using ARDEM Data Processing and Data Entry Services:
Process Rapidly Growing Information
As the need for data increases more data is produced and more data needs to be processed more quickly. There are more vendor invoices, more insurance policies, more patient records, more account applications, more housing permits…..more data processing needs. ARDEM can help rapidly process the incoming data and provide the client with the output in usable electronic file format.
Facilitate Information Sharing by Data Capture and Document Indexing
Indexing, coding, tagging of records by client specific search fields allows for quick search and retrieval of documents. ARDEM marries its document scanning services with its data processing and document indexing services to provide the user with easy to search, easy to share documents.
Reformat Raw Data to Usable Formats
Each vendor invoice is different. Some put PO# at the top, others at the bottom. Valuable time is spent locating information on different forms. ARDEM extracts data from the different source documents and presents it in a standardized format for users to review and process.
Remove the Drudgery of Data Entry
Improve productivity of your back-office by utilizing ARDEM data entry and data processing services. Instead of spending endless hour performing data entry services let your back-office use the information in meaningful ways.
Increase the Accuracy of Data Entry
ARDEM consistently achieves 99.95% or higher accuracy of extracted data through use of “dual-key entry” process and use of validation rules and data entry rule based application software.
Process
ARDEM provides data entry, data capture and data processing services at its high volume processing center in New Jersey or at its global processing locations both in United States and overseas.
Source documents are typically picked up at the client location in any state within the contiguous states and brought to our scanning processing center, typically located within that state. The documents are scanned and the original documents are returned to the client. The scanned images are transmitted to ARDEM data entry processing locations. Data entry operators use image retrieval software, data validation soft wares to extract data from scanned images and create an output file. This output file is transmitted back to the client. Many clients skip the step related to hard copy document delivery to ARDEM choosing instead to scan and transmit the documents directly to ARDEM. Such processing helps ARDEM truly act as the clients’ own back-office, receiving scanned images, providing data entry services and transmitting data entry files back to clients in close to real-time basis.
ARDEM takes business continuity and data confidentiality seriously. All client data is handled in a safe and confidential manner. Adequate security measures are in place to protect both the physical source documents and the electronic data. Security procedures encompass physical security of the operating premises, web, network and workstation security as well background checks and signing of confidentiality agreements by all ARDEM employees as a condition of employment.
